EDI Attachments and Tracker

Can Tracker send EDI attachments?
All carriers that accept attachments can have these sent automatically when sending a claim in Tracker. While this may work in previous versions, we recommend that offices upgrade to Tracker 12 to ensure the latest compatibility.

You can include up to 30 files in one attachment message with a total combined file size of 7 MB

We recommend that before updating, changes in the software be reviewed by going to Help | Highlights.

Once ready, to update to the latest version of Tracker please go to Help and then Web Update and follow the prompts. Follow this url for detailed instructions https://gotracker.com/webupdate/.

 

When would I need to send attachments?
Typically, this would be something that the insurance company may request. However, starting Nov. 1, 2024, CDCP submissions may require additional information for approval when sending claims to Sunlife.

How do I send the attachments?
Supported file types are Word Documents (doc, docx), Dicom Files (.dic, .dcm, .dicm), JPEG files (.jpg, .jpeg) and Text files (.txt).

During the sending process, Tracker will prompt you with questions about your claim. Be sure to have these items saved to a directory on your computer before sending as you will need to select them

1. If the carrier supports sending attachments, when sending the claim Tracker will prompt you for any forwarded materials. Choose Yes to this prompt.

2. On the next screen, choose the type of materials you wish to forward.

3. Proceed to answer any remaining questions. Your claim or estimate will send as normal before you are prompted to attach any items.

4. After your submission response is received, Tracker will ask to add the attachments via EDI.

If you say yes, you can immediately browse your computer for the items that need to be sent.
If you select no, you can still add items to a submitted claim by going to Financial | EDI | EDI Report. When in the report, highlight the applicable claim that was submitted and in the upper right choose Send Attachment to browse for the file to send.

Please note that file types are limited to Word Documents (doc, docx), Dicom Files (.dic, .dcm, .dicm), JPEG files (.jpg, .jpeg) and Text files (.txt).

5. After submission of the attachments, you will receive a response from the carrier on its approval.

What happens if I am not prompted to select attachments?
If you are not prompted to add attachments after you have send yes to the corresponding question, kindly check your insurance carrier settings. In Tracker 12 you can go to Configuration, then Insurance Carriers, once you click on the carrier ensure Attachments has a checkmark beside it. There are only a few carriers that support this feature. To confirm, kindly check this link for more details.

Alternatively you can click on the Update Supported Transactions from ITRANS button located in the bottom right of the Insurance Carrier screen.

Sending Perio and Odontogram as a JPEG

Tracker 12 makes it easy to save a chart as an image file.  Go to File and then Print, select Preview. 

In the Preview Window click on the Save As Icon

Save As Type should be changed to Jpeg image.
